Tips
- Set the visitor flow before opening registration. Map the entrance, waiting line, signing table, photo area and exit, then check that queue barriers or barrier tape stands will not block staff access.
- Assign time slots only after checking the venue capacity and the signer's realistic pace. Leave a short buffer between groups so a delayed visitor does not push the entire schedule back.
- Prepare name badges, wristbands, autograph cards and the printed participant list at least one day before the session. Sort them in arrival order so check-in does not become a search exercise.
- Test the microphone, speakers, mixer, laptop, printer and payment terminal at the venue before guests arrive. Pack extension cords, power strips and rechargeable power banks together rather than sourcing them during setup.
- Send confirmations and directions as soon as time slots are assigned, then send a final reminder 24 hours before the event. Include the arrival time, entrance, queue procedure and what visitors should bring.

- How far in advance should I plan an autograph session?
- Start venue and signer arrangements at least 6 to 8 weeks before the session. Open registration only after the date, capacity, visitor flow and signing materials are confirmed.
- How many visitors should I assign to each autograph time slot?
- Base the number on the signer's average signing time and add a 10 to 15 minute buffer each hour. For example, at 3 minutes per visitor, plan no more than 18 to 20 visitors per hour rather than filling all 60 minutes.
- When should I send autograph session confirmations?
- Send the confirmation immediately after assigning a time slot, ideally at least 7 days before the event. Send a final reminder with directions and arrival instructions 24 hours beforehand.
- When should I print signs and prepare autograph cards?
- Print directional signs, the welcome sign and participant lists 1 to 2 days before the session. Sort autograph cards, wristbands and name badges the day before, then place them at the check-in table before doors open.
