Tips

  • Set the registration deadline at least 7 days before the event. Use the final guest count to confirm catering quantities and send the dietary requirements to the caterer.
  • Send the program and a reminder separately. Send the program once registrations are confirmed, then send the reminder 2–3 days before the members’ day with the arrival time and venue details.
  • Prepare the arrival desk before setting the buffet. Put the attendance list and name badges at the registration desk so the first guests can check in without interrupting catering or presentations.
  • Test the presentation setup at the venue at least 2 hours before guests arrive. Check the laptop, projector, screen, microphone, speakers, extension cords and power strips together rather than assuming they will work on the day.
  • Move drinks and event materials to the venue the day before where possible. Chill drinks for at least 6 hours, and keep the run sheet, attendance list and dietary list in a clearly marked folder.
