Anniversary golf day checklist

An anniversary golf day has two distinct parts to coordinate: the competition on the course and the dinner that follows. Start by booking the golf course and dinner venue, then collect registrations, dietary requirements and skill information before building the start list and groups. In the final week, confirm catering, prizes, equipment and the weather plan. On the day, allow time for reception, welcome drinks, scorecards, refreshments and a properly prepared dinner room.

Tips

  • Book the golf course and dinner venue before sending invitations, and set a registration deadline at least 2–3 weeks before the event. You need the final headcount for catering, groupings and prizes.
  • Ask for handicaps or a practical assessment of playing ability when guests register. Finalise the start list and groups several days before play, then share tee times and competition information with participants.
  • Prepare one reception point with the start list, pencils, scorecards and golf tees. Keep spare golf balls and golf umbrellas there as well; these are easy for guests to forget until they reach the first tee.
  • Confirm the dinner menu and dietary requirements no later than 5–7 days beforehand. Count dinner plates, dessert plates, cutlery, glasses and coffee cups separately, especially if the meal and coffee service use different tables.
  • Check the forecast 24 hours before the event and brief participants on the plan. Fill coolers before arrival, test the microphone and speakers, and put chargers, extension cords and power strips where the reception and dinner team can reach them.

Frequently asked questions

How far in advance should I organise an anniversary golf day?
Book the golf course and dinner venue at least 6–8 weeks ahead if possible. Send invitations once both bookings are confirmed, with registration closing 2–3 weeks before the day.
When should I finalise the golf groups and start list?
Finalise the groups and start list 3–5 days before the event, after registrations and skill information are complete. Send the final start times and competition format to participants at least 48 hours before play.
How many golf balls and tees should I prepare?
Prepare at least one sleeve of golf balls and 5–10 tees per player, plus a small reserve for the reception table. Check the final player count after registration closes before buying or collecting equipment.
When should I confirm catering for the anniversary dinner?
Confirm the menu, final guest count and dietary requirements 5–7 days before the dinner. Recheck the count on the day before the event if late cancellations could affect portions or seating.
