  • Set a registration deadline at least 10–14 days before the ceremony. Use the final guest list to calculate catering, seating, name badges and the number of programmes to print.
  • Collect speeches, presentations and photos at least 7 days ahead. Test every file on the event laptop and projector, rather than discovering an incompatible format during the ceremony.
  • Plan the room layout before furniture arrives. Leave a clear route from the registration desk to the seating, and check that the speaker, microphones, mixer and microphone stand do not block guests or the projection screen.
  • Calculate drinks by service period, not just by guest count. For the first hour, allow roughly 2–3 drinks per person, then chill the drinks in time for arrival and keep water glasses available throughout the ceremony.
  • Finish the small handovers on the day before: collect the gift and flowers, check tableware and equipment against the list, and place the printed programme and name badges where guests will find them immediately.
