Agricultural conference checklist
An agricultural conference depends on more than a confirmed venue and a strong programme. You need time to secure speakers, open registration, collect dietary and transport details, and test every presentation connection. Use this checklist to work from the date and programme through to name badges, catering setup and the final equipment check. The plan covers the practical details that are easy to leave until the last week, including adapters, microphones, presentation files, refreshments and participant information.

Tips
- Set the date and programme before approaching speakers, then allow at least two weeks for confirmations before invitations go out. This gives you time to replace a speaker who cannot attend.
- Open registration as soon as the invitations are sent and set a clear closing date at least 7 days before the conference. Use the final registration list to confirm dietary requirements, transport information and badge printing.
- Request presentations no later than 3 days before the event and check every file on the event laptop. Test the projector, screen, wireless microphones, clicker, HDMI cables, adapters, power strips and extension cords together rather than separately.
- Plan catering from the confirmed registration count, including coffee cups, water glasses, plates, cutlery and serving equipment. Set up the catering area before participants arrive, and prepare snacks and filled coolers early enough to avoid a queue during the first break.
- Print the participant list, name badges and programmes at least 1 day before the conference. Keep charging cables and power banks at the registration desk, and place speaker tables, chairs and microphone stands before the technical rehearsal.
Frequently asked questions
- How early should I start planning an agricultural conference?
- Start at least 12 weeks before the conference date. Reserve the venue, set the programme and approach speakers first, then leave 6 to 8 weeks for invitations, registration and logistics.
- When should agricultural conference registration close?
- Close registration about 7 days before the event. This leaves enough time to confirm dietary requirements, send transport information, print the participant list and prepare name badges.
- When should speakers send their presentations?
- Ask speakers to send their presentations at least 3 days before the conference. Check the files on the event laptop and test them with the projector, screen, HDMI connections and presentation clicker before event day.
- How much time is needed to set up an agricultural conference?
- Allow at least 3 hours for setup, followed by a technical rehearsal. Arrange the registration desk, seating, catering area and speaker furniture first, then test microphones, projection, power and presentation files.
