  • Scout the full route before sending final instructions. Check crossings, narrow sections and the rest-stop location, then record the route digitally and prepare printed maps.
  • Confirm the permit and starting location early, ideally several weeks before the walk. A route change made after invitations go out creates extra work for registrations, volunteers and signage.
  • Give each station one named volunteer and a clear arrival time. The start area, route points and rest stop need coverage before the first walkers set off, not when they are already waiting.
  • Prepare participant materials at least one day ahead. Sort race numbers, safety pins, route maps, the participant list, clipboards and pens so check-in does not depend on last-minute printing.
