Youth tournament checklist and planning guide
A youth tournament needs more than a pitch and a fixture list. You need confirmed teams, named adults, first-aid cover, working equipment and a clear plan for changing weather. Start with the date and fields, then build the schedule, registration process and staffing around them. In the final week, check contacts, print forms, confirm routes and prepare drinks, prizes and tournament materials so the day does not depend on last-minute decisions.

Tips
- Set the match schedule only after the field capacity, team numbers and match format are fixed. Send team confirmations and route information no later than 3β5 days before the tournament.
- Assign referees, competition supervisors and first-aid cover by name, with one backup contact for each role. Check parent contact details before registrations close, rather than trying to resolve gaps on tournament morning.
- Check every ball, cone, mini goal, bib, whistle, stopwatch and scoreboard at least 24 hours ahead. Pack extension cords, power strips and ground anchors with the equipment instead of assuming the venue will provide them.
- Plan drinks and serving equipment together: chill drinks before opening, and set out reusable cups, pouring jugs, coolers and thermos flasks where volunteers can refill without blocking registration. Collect dietary requirements before shopping and label any food that needs special handling.
- Check the weather forecast 48 hours before the event and again on the morning itself. Decide in advance when party tents, tables, chairs or a revised timetable will be used, and inspect the grounds before teams arrive.
Frequently asked questions
- How far in advance should I organise a youth tournament?
- Set the date and reserve the sports fields at least 8β12 weeks ahead. Open registration early enough to confirm teams, arrange referees and order prizes before the final week.
- When should youth tournament registrations close?
- Close registrations 10β14 days before the tournament if possible. This leaves time to update team assignments, collect dietary requirements, check parent contacts and draw up the match schedule.
- What should I check the day before a youth tournament?
- Check the forecast, tournament materials, sports equipment, drinks and printed competition forms 24 hours before opening. Confirm referees, supervisors and first-aid coverage, then send any final timetable or route update.
- How many adults are needed to run a youth tournament?
- Plan at least one named adult for each competition area, plus referees and dedicated first-aid cover. Final numbers depend on the number of fields and teams, but avoid giving one person registration, supervision and safety duties at the same time.
