  • Walk the entire route before opening registration, including every crossing and turn. Record the distance, walking time and any points where participants may need a visible guide or extra direction.
  • Check permissions and traffic conditions several weeks before the walk. A route that crosses busy intersections may require changes, barriers or additional volunteers before invitations are sent.
  • Close registration early enough to update the participant list, collect dietary requirements and prepare race numbers. Allow at least 24 hours for printing maps, numbers and participant information.
  • Assign route guides with clear sections rather than asking volunteers to cover the whole route. Give them safety vests, route signs, mobile phones or walkie-talkies, and confirm who carries a rechargeable power bank.
  • Plan the final setup in time for the weather and daylight. Set up party tents, tables and finish-area lighting before participants arrive, and chill drinks while reusable cups, plates and serving equipment are being prepared.
