  • Set the date, venue and programme at least 6–8 weeks ahead if several volunteers are involved. Send invitations as soon as these details are fixed, then set a clear RSVP deadline.
  • Close registrations 7–10 days before the party so you can calculate catering quantities and follow up with people who have not replied. Collect dietary requirements at the same time, rather than trying to do this during setup.
  • Print the schedule, signs and name badges at least 2 days before the event. Keep a few blank badges available for late additions and place the schedule where guests will see it when they arrive.
  • Chill drinks for at least 12 hours when possible, and prepare snacks shortly before guests arrive. Use coolers or ice buckets for drinks that need to stay cold during the party.
  • Allow 2–3 hours before opening for tents, tables, chairs, buffet and drinks stations. Test the Bluetooth speakers, extension cords, power strips and string lights before the first guests arrive.
