- Set a registration deadline at least 7 days before the Volunteer Day. Use the final participant list to prepare name badges, assign volunteer tasks and confirm dietary requirements rather than relying on last-minute messages.
- Create the programme and task assignments at least 5 days ahead, then share route directions with registered participants. Include a named coordinator for registration, catering, equipment and each work area.
- Check the weather forecast 3 days before the event and again on the morning itself. If outdoor work is planned, decide in advance where the party tents, tables and task board will go and keep transport carts available for moving materials.
- Confirm suppliers and collect materials no later than 2 days before the event. Test coffee machines, kettles, speakers and the microphone, and check that extension cords, power strips and power banks are available before setup begins.
- Plan the final setup backwards from participant arrival: open and inspect the venue first, then place waste stations, build the party tents, arrange tables and chairs, and set up registration. Chill drinks and prepare catering only after the serving area is ready.
