  • Set the match format before opening registration. Decide how many courts you will use, how teams progress and how long each match block lasts; those choices determine the schedule and the number of teams you can accept.
  • Close registration early enough to process entries and dietary requirements. Send each team a confirmation after checking contact details, then print the final team list and schedule before match day.
  • Assign referees and table officials as separate roles. Prepare scoreboards, match forms, pens and whistles for every active court, plus spare volleyballs and a ball cart nearby.
  • Check the hall and equipment at least one day before the tournament. Confirm the nets, poles, court-marking tape, referee chairs, changing-room benches, extension cables and power strips are available and usable.
