Volleyball tournament checklist: what to arrange and when
A volleyball tournament depends on more than a court and a net. You need the venue, format, team registrations, officials, match schedule, equipment and refreshments to line up before the first serve. This checklist covers the work from booking the sports hall to opening the doors, setting the nets and preparing the prize table. Use it to assign responsibilities early and avoid last-minute gaps such as missing contact details, unconfirmed referees or equipment that has not been checked.

Tips
- Set the tournament format and rules before opening team registration. This gives you a clear basis for the match schedule and prevents teams from receiving different information later.
- Close team registration with enough time to process entries and check contact details. Collect dietary requirements at the same time, rather than chasing them after catering has been ordered.
- Confirm referees and volunteers before publishing the final schedule. Give each court a named person for scoring, timekeeping or practical support so the tournament does not depend on one coordinator.
- Check every court before tournament day, including nets, poles, antenna sets, balls, scoreboards, whistles and referee chairs. Set up the courts early enough to correct missing or damaged equipment before teams arrive.
- Prepare drinks, reusable cups and catering before the hall opens. Keep cold drinks in coolers, set out serving equipment and place tournament folders, prizes and medals where volunteers can find them quickly.
Frequently asked questions
- How far in advance should I organise a volleyball tournament?
- Book the sports hall and fix the tournament date at least 8 to 12 weeks ahead. Aim to confirm teams, referees, volunteers, catering and equipment no later than 2 weeks before the event.
- How many volleyballs do I need for a tournament?
- Plan at least 2 match-ready volleyballs per court, plus 1 or 2 spare balls for the whole tournament. Check them before setup and keep them together in ball bags so replacements are easy to find.
- When should I publish the volleyball tournament schedule?
- Publish the schedule after registrations and contact details have been checked, ideally 5 to 7 days before the tournament. Send a route and weather update around 24 hours before teams travel.
- What should be ready when the sports hall opens?
- Have the courts, nets, antennas, referee chairs, scoreboards and team materials ready before the first teams arrive. Allow at least 60 to 90 minutes for opening the hall, checking changing rooms and completing court setup.
