Torch Bike Ride Checklist
A torch bike ride needs more preparation than a normal group cycle because you are managing darkness, moving participants, traffic and a finish venue at the same time. Start with the route, date and permissions, then work through registrations, volunteer roles and equipment. A route ride-through will reveal unsafe crossings, poor lighting and places where signs or marshals are needed. Keep the final week for weather checks, participant information, equipment tests and packing rather than last-minute route decisions.

Tips
- Ride the full route before sending invitations, and record every crossing, narrow section and stop where a marshal or extra sign may be needed. Allow time for a slower group pace and a planned rest area.
- Set a registration deadline at least 7 days before the ride. Use the final participant list to brief marshals, prepare route information and identify dietary requirements for the closing venue.
- Test every torch and bicycle light at least 2 days beforehand, then pack spare batteries, power banks, pumps, repair kits and spare inner tubes together. Darkness makes a small equipment failure harder to solve quickly.
- Give each marshal a clear position, route section and communication method before the start. A short briefing on hand signals, regrouping and what to do if a rider falls is more useful than a general reminder to be careful.
- Set up the start and finish areas before riders arrive, including the registration desk, lighting, signs, refreshments and seating. Keep a separate box for items that must be collected or returned after the ride.
Frequently asked questions
- How far in advance should I organise a torch bike ride?
- Begin route planning and location reservations at least 6 to 8 weeks before the ride. Contact the relevant authorities about permits, notifications and traffic measures as soon as the route and date are fixed.
- How many marshals do I need for a torch bike ride?
- Plan at least one marshal for every major crossing or risk point, plus one ride leader and one sweep rider. For a group of around 30 riders, 4 to 6 trained volunteers usually gives better coverage than relying on one person at the front.
- What should participants bring to a torch bike ride?
- Tell participants to bring a roadworthy bicycle, working front and rear lights, weather-appropriate clothing and a charged phone. Send this information at least 5 days before the ride, so missing lights or equipment can be resolved before the start.
- When should I check the weather for a torch bike ride?
- Check the forecast 7 days before the event for early warnings, then make the final decision 24 hours before departure. Use that final check to adjust clothing advice, shelter, refreshments and any route section affected by wind or heavy rain.
