Tennis Tournament Checklist

A tennis tournament runs smoothly when court time, player information and match logistics are fixed well before the first serve. This checklist takes you from reserving courts and choosing the format to registrations, scheduling, equipment checks and match-day operations. It also covers details that are easy to miss, such as dietary requirements, spare rackets, chargers, scoreboards and shelter. Work through the plan in order, then use the final checks to keep registration and matches moving on the day.

Tips

  • Set the tournament format before sending invitations. Decide the number of players, match length, scoring system and expected arrival time so participants know what they are registering for.
  • Close registrations early enough to build the schedule. Finalize the participant list at least 2–3 days before the tournament, then send the match schedule as soon as court assignments are confirmed.
  • Prepare more than the match equipment itself. Put spare rackets, tennis balls, towels, scoreboards, line sweepers and start-and-stop whistles at the venue before players arrive.
  • Test the technology before the first match. Check the laptop or tablet, mobile sound system, microphone, chargers, extension cords and power strips rather than discovering a missing connection during announcements.
  • Create a clear arrival flow with one registration table and a staffed reception point. Keep reusable cups, coolers, fruit and snacks ready, and place waste bins where players and spectators will actually use them.

Frequently asked questions

How far in advance should I book tennis courts for a tournament?
Book the courts as soon as you know the likely date and player count, preferably 4–8 weeks ahead. Reserve enough continuous court time for the planned matches, transitions and at least one short delay.
When should I send the tennis tournament schedule?
Send the final schedule 2–3 days before the tournament, after registrations and dietary requirements are closed. Include arrival time, first match, court assignments, format and what players should bring.
How many tennis balls do I need for a tournament?
Plan at least one match-ready set per active court, plus reserve balls for replacements and warm-ups. For a tournament using four courts, prepare four working sets and additional spare balls at the registration or scorekeeping table.
What should I check on the morning of a tennis tournament?
Allow 60–90 minutes before player arrival to inspect the courts, nets and lines, distribute balls, place scoreboards, build tents and arrange tables and chairs. Use the same window to test the microphone and sound system and set up registration.
