What you need for a technology workshop
A technology workshop needs more than laptops and a projector. Each participant should have a complete kit with a microcontroller, cables, a breadboard, components and the right measuring tools. Plan the quantities by participant or by work pair, then add a small buffer for damaged or missing parts. You will also need safe power distribution, protective equipment, and simple refreshments so setup does not compete with registration.

Tips
- Count technical kits by work pair if participants will share equipment, but provide one set of safety goggles per person. Add at least 10% extra USB cables, jumper wires and small electronic components for breakages and misplaced parts.
- Test every laptop, charger and required software at least 24 hours before the workshop. Bring one spare laptop and charger if the session depends on participants completing hands-on exercises.
- Plan one power strip for every two workstations and use extension cords only where needed. Check the room layout before the day so cables do not cross walkways or emergency routes.
- Prepare batteries, battery holders and sensor sets before packing the kits. Put each groupβs parts in a labelled parts bin so handing out equipment takes minutes instead of delaying the demonstration.
- Allow two to three drinks per participant for the first hour, plus snacks. Set out reusable cups, plates, cutlery and serving trays before participants arrive, and keep extra water in a cooler if the venue has no nearby kitchen.
Frequently asked questions
- How many laptops do I need for a technology workshop?
- Plan one laptop per participant for individual exercises, or one per two participants for paired work. Bring at least one tested spare laptop and charger for every 15 participants.
- How many electronic components should I buy per participant?
- For individual kits, provide one microcontroller kit, breadboard, USB cable, jumper cable set, sensor set and multimeter per participant. Buy about 10% extra small components such as LEDs, resistors and crocodile clips.
- What safety equipment is needed for a technology workshop?
- Provide one pair of safety goggles per participant and one anti-static mat per workstation. Print the safety instructions and place them at each table before the workshop starts.
- When should I test the laptops and workshop equipment?
- Complete the first equipment test at least 24 hours before the workshop and repeat a quick power and software check on the morning of the event. Pack chargers, extension cords and power strips with the laptops so nothing is left behind.
