Tips

  • Plan at least 2–3 drinks per person for the first hour, then add 1 drink per person for each additional hour. Bring extra water in jugs, especially if the forecast is warm.
  • Use one cooler for drinks and another for sandwiches, wraps and fruit. Chill food before leaving and pack enough ice packs to keep the food cooler cold during transport.
  • Allow one reusable plate, bowl, cup and set of cutlery per attendee, plus 10% extra for dropped or misplaced items. Bring separate coffee cups if coffee is on the programme.
  • For a mixed sports programme, pack at least one ball per active game and bring cones to mark boundaries. A volleyball net, tug-of-war rope and Kubb set should be checked before loading.
  • Bring shade and seating for the whole group, not just the organisers: party tents, windbreaks, picnic blankets, beach mats, folding tables and folding chairs. Pack power banks and charging cables with the speaker so they are not left in the office.
