Talent show checklist: from first idea to final applause

A talent show needs more than a list of performers. You have to collect technical requirements, confirm the running order, prepare introductions and test every microphone before guests arrive. This checklist puts the work in a useful sequence, from setting the date and processing registrations to arranging chairs, cooling drinks and opening the venue. Use it to keep performers, volunteers, equipment and refreshments aligned on the day.

The full checklist for this plan is being updated. The tips and answers below still apply.

Tips

  • Ask every performer about microphones, music files, cables and setup time when you collect registrations. A late technical request can change the running order, so confirm these details before the programme is final.
  • Build the programme around realistic changeover times, not just performance length. Leave at least a few minutes between acts for performers to leave, the next act to prepare and the host to introduce them.
  • Test the complete sound chain before doors open: laptop or USB stick, audio mixer, speakers, microphone stands and both wireless microphones. Play every music file once and keep a backup copy available.
  • Prepare refreshments in separate service areas. Keep drinks cooling while you arrange cups and water jugs, and prepare sandwiches and snacks early enough that the serving table does not compete with the final sound check.
  • Print the running order and assign named volunteers before the event day. One person should guide performers, while another watches the entrance, refreshments and room setup so small jobs do not fall between chairs.

Frequently asked questions

How far in advance should I organise a talent show?
Start at least 6 to 8 weeks before the event. Set the date and programme first, then allow time for registrations, technical questions, invitations and final performance confirmations.
How long should a talent show programme be?
Plan each performance together with its introduction and changeover time. For example, 10 acts of 5 minutes each need more than 50 minutes once you add transitions, microphone changes and short announcements.
When should I test the microphones and speakers?
Complete the full sound check before guests arrive, ideally 60 to 90 minutes before the start. Test both wireless microphones, the audio mixer, speakers and every music file used in the programme.
How many drinks and snacks do I need for a talent show?
For the first hour, allow roughly 2 to 3 drinks per person, including water. For snacks, prepare about 4 to 6 small portions per guest and collect dietary requirements before shopping.
