What you need for a swimming competition
A swimming competition needs more than swimwear and a pool. You need reliable timing equipment, clearly labelled race materials, registration supplies and refreshments that can handle a busy poolside. Plan quantities around the number of swimmers, officials and volunteers, then add backups for anything that could stop a race. This shopping list covers the practical equipment for setting up lanes, running heats, recording results and keeping participants informed.

Tips
- Plan one numbered swim cap and one participant number for every swimmer, plus at least 5% spares for late changes or damaged items. Keep waterproof markers available for quick labelling.
- Use one stopwatch per active lane and keep at least two spare stopwatches ready. Test every stopwatch, digital timer and charging station before race day rather than discovering a flat battery at the first heat.
- Prepare one clipboard, pen and set of result forms for each official recording results. Buy at least 20% extra pens and bring waterproof markers because ordinary ink can become difficult to use around the pool.
- Allow two reusable cups per person for the first service round, then add extra cups for officials and volunteers. Use coolers for cold drinks and thermos flasks for hot drinks so refreshments can be placed near the registration area without repeated trips.
- Order one medal or prize for every planned placing before registration closes, and check the spelling of names at least 7 days before the competition. Pack information boards, signage and the megaphone where officials can reach them during setup.
Frequently asked questions
- What equipment do I need for a swimming competition?
- For each active lane, plan one stopwatch and one official recording sheet, with at least two spare stopwatches overall. You will also need whistles, a digital timer, numbered swim caps, start blocks, clipboards, pens, result forms and a megaphone.
- How many numbered swim caps do I need?
- Buy one numbered cap per registered swimmer, then add at least 5% spare caps. For 100 swimmers, that means 105 caps, with the spare numbers kept at registration for changes or damage.
- How much food and drink should I buy for a swim meet?
- Plan two drinks per person for the first hour, then one additional drink per person for every following hour. Add snacks for swimmers, officials and volunteers, and keep at least 10% extra for a long day or delayed heats.
- When should I order medals for a swimming competition?
- Order medals at least 7 days before the event, once the competition format and number of places are confirmed. Check the quantity and name spelling before ordering so replacements do not delay the presentation.
