  • Set the exchange rules before opening registration. State what participants can bring, how many items are allowed and whether anything may be refused at check-in.
  • Send participant information at least 3 days before the swap meet. Include the arrival time, venue details, table numbers, trading rules and any dietary information you need to confirm.
  • Finish the table layout before printing signs and forms. Number the trading tables and prepare the registration desk so arrivals do not block the entrance.
  • Do the shopping and collect borrowed materials no later than the day before. Check tables, chairs, racks, stools, waste bins, crockery, glasses and serving equipment together rather than discovering gaps during setup.
