Summer picnic checklist: what to arrange and when

A summer picnic needs more planning than packing sandwiches and blankets. This checklist takes you from reserving the location and sending invitations to setting up tents, tables, food and drinks on the day. Start with guest numbers and dietary requirements, then work backwards from the picnic time for shopping, preparation and deliveries. The details most often missed are weather cover, enough cold storage, power for music and lighting, and a clear plan for packing everything away.

Tips

  • Reserve the picnic location before sending invitations, then set a registration deadline at least 7 days before the event. Use the final guest list to confirm seating, food quantities and dietary requirements.
  • Check the weather forecast 48 hours before the picnic and again on the morning itself. If rain or strong sun is possible, confirm that party tents, tables and blankets can be placed safely on the available surface.
  • Do the main shopping 1–2 days ahead, wash fruit and vegetables before guests arrive, and chill drinks for at least 6 hours. Keep extra drinks and perishable food in coolers rather than leaving everything on the buffet.
  • Allow at least 90 minutes for setup: check the venue, build the party tents, arrange tables and chairs, lay out blankets, then prepare the buffet and reception desk. Test portable speakers, lighting, extension cords and power strips before guests arrive.
  • Pack a separate cleanup and transport load before the picnic starts. Washing-up tubs, cleaning buckets, reusable tableware and serving equipment are easy to leave behind when food and decorations are packed first.

Frequently asked questions

How far in advance should I plan a summer picnic?
Reserve the location and send invitations 3–4 weeks ahead. Close registrations at least 7 days before the picnic so you can create a final guest list, confirm dietary requirements and order or buy the right amount of food.
When should I check the weather for a summer picnic?
Check it 48 hours before the event, then again on the morning of the picnic. Use the forecast to confirm whether you need party tents, extra blankets or a changed setup plan before deliveries and transport are underway.
How long does it take to set up a summer picnic?
Allow 90–120 minutes for a full setup with tents, tables, chairs, blankets, buffet tables, decorations, drinks and music. Add another 30 minutes if deliveries arrive during setup or the venue surface needs checking and cleaning.
How many drinks should I prepare for a summer picnic?
Plan on 2–3 drinks per person for the first hour, then 1–2 per person for each additional hour, with extra water in hot weather. Chill drinks at least 6 hours beforehand and keep them in coolers until they are served.
