  • Set a registration deadline at least 7 days before the festival. Use the final numbers to assign teams, prepare bibs or vests, collect dietary requirements and register reserve athletes.
  • Create the match schedule before assigning officials. Include start times, field or court numbers, breaks and a 10-minute buffer between rounds so delays do not affect the whole day.
  • Check every sports area and piece of equipment at least 2 days before the event. Count balls, cones, nets, goals, rackets, sticks, stopwatches and measuring tapes, then arrange replacements for anything missing or damaged.
  • Write the bad-weather plan before checking the forecast on the final week. Decide when you will postpone, shorten outdoor matches or move activities under party tents, and tell participants the decision deadline.
  • Build in time for event-day setup: allow at least 90 minutes for tables, chairs, registration, score tables, tents, goals, nets and marked zones. Put water crates and coolers where teams can reach them between matches.
