Tips

  • Plan at least one ball for every 8 to 10 participants in each scheduled sport, and bring cones, marker cones and vests for quick team changes.
  • Pack one reusable drinking cup per participant, plus at least 20% extra for loss, spills and refills. Bring enough water jugs and coolers to keep drinks available throughout the day.
  • Allow one folding chair per participant and enough tables for registration, lunch and equipment. Set aside a separate registration table so check-in does not block the food service.
  • Take a party tent or other shelter even when rain is not forecast. It gives participants a place to cool down and protects registration materials, serving platters and equipment from sudden weather changes.
  • Pack two communication options: a portable speaker and microphone for the welcome and safety briefing, plus a megaphone for field instructions. Bring extension cords and power strips, and test everything before participants arrive.
