  • Start with the route permit, insurance check and start-location booking. Allow at least 4–6 weeks for permissions and confirm whether traffic marshals or additional safety measures are required.
  • Set a firm registration closing date, ideally 7–10 days before the run. Use the final registration list to order bib numbers, print the bib number list and collect dietary requirements for catering.
  • Assign volunteers by location, not just by total headcount. Give each checkpoint, start/finish area and first-aid position a named lead, then provide written instructions before race morning.
  • Test the complete sound and power setup at the venue at least 3 days before the event. Check the microphone, portable speakers, extension cords, power strips and cable reels together rather than separately.
  • Assemble starter packs and check route materials 1–2 days before the run. Count bib numbers, safety pins, arrows, cones, barrier tape, vests and medal ribbons, and keep spare supplies at the start/finish area.
