Sewing workshop checklist: make a fabric bag

A fabric bag workshop needs more than fabric and sewing machines. You need a clear pattern, pre-cut materials, tested equipment and enough time for participants to work at different speeds. This checklist takes you from choosing the date and processing registrations to setting up machines, ironing stations and supply tables. Use it to prepare the room, explain the process safely and avoid last-minute problems such as missing needles, tangled extension cords or unfinished cutting.

Tips

  • Confirm the room, date and machine supply at least 3–4 weeks before the workshop. Count one usable sewing machine for every 2–3 participants if people will share equipment.
  • Create and test the fabric bag pattern before cutting the class materials. Make one complete sample bag so you can check seam allowances, strap placement and the order of the steps.
  • Cut or sort the fabric and bag straps before participants arrive, and distribute one complete material set per person. Prepare a few extra sets for cutting mistakes or damaged fabric.
  • Test every sewing machine, iron and power connection on the day before the workshop. Keep extension cords and power strips away from walkways, and leave a clear route to the ironing stations.
  • Plan the first 30 minutes for arrival, safety instructions, fabric and pattern guidance, and cutting or pinning. Print the attendance list and participant information before opening the room, then ventilate and arrange the tables and chairs.

Frequently asked questions

How long does a fabric bag sewing workshop take?
Allow about 3–4 hours for a beginner workshop, including arrival, safety instructions, cutting, sewing and finishing. Add at least 30 minutes before the start for room setup and equipment checks.
How many sewing machines do I need for a bag-making workshop?
Plan for one machine per 2–3 participants when attendees can share. For 12 participants, prepare at least 4–6 working machines and test each one before the workshop.
When should I send the participant information?
Send the schedule, address, what to wear and any preparation notes at least 5–7 days before the workshop. Confirm registrations and dietary requirements before sending the final message.
How much extra fabric should I prepare for a sewing workshop?
Prepare at least 10% extra fabric and straps beyond the number of registrations. For 20 participants, that means materials for 22 bags, allowing for cutting errors or damaged pieces.
