School camp shopping list
A school camp needs more than tents and packed lunches. You need enough reusable tableware, cooking equipment, chilled storage, lighting and power supplies for the full group and the planned programme. Work out quantities from the participant list, then add a small buffer for breakages, spills and unexpected guests. Order groceries early, keep fresh food chilled, and check every item before luggage and equipment are loaded.

Tips
- Plan reusable plates, bowls, cups, knives, forks and spoons for every participant, plus at least 10% extra. Count serving spoons and trays separately so food can be served without using personal cutlery.
- For group catering, allow one large cooking pot or frying pan for each dish prepared at the same time. Check that the gas burners, kettles, cutting boards and chefโs knives are compatible with the campsite before departure.
- Use coolers for fresh food and pack enough ice or cold packs to keep it chilled from collection until the first meal. Pick up groceries as close to departure as possible rather than leaving dairy, meat or prepared food unrefrigerated.
- Count one sleeping arrangement per participant and label storage crates, luggage and camp materials before loading. Send luggage instructions early so families know what must be packed and what the school provides.
- Take at least one LED lantern for each tent or shared indoor area, then check power banks, extension cords and power strips before leaving. Keep a separate charging point for staff equipment and avoid relying on a single outlet.
Frequently asked questions
- What food should I buy for a school camp?
- Buy food for every planned meal, snack and drink, based on the confirmed participant list and dietary requirements. Add about 10% extra for spills, larger appetites and last-minute changes, and keep perishable food chilled until it is used.
- How many plates and cups do I need for a school camp?
- Plan one reusable plate, bowl and cup per person, plus at least 10% spare. If washing facilities are limited, increase the number so each person has a clean set for every main meal.
- When should I order groceries for a school camp?
- Order non-perishable groceries several days before departure and arrange fresh food collection on the day before or the morning of the camp. Check quantities against registrations, dietary information and the final programme before placing the order.
- What cooking equipment is needed for a school camp?
- Prepare gas burners, cooking pots, frying pans, kettles, cutting boards, chefโs knives, mixing bowls and serving utensils for the recipes on the programme. Check all equipment at least one week before departure and replace or restock missing items before packing.
