Safety evening planning checklist

A safety evening needs more than a programme and a room. You need to coordinate speakers, demonstrations, registrations, safety information, equipment and refreshments in the right order. Start by confirming the date, venue and programme, then allow time for permits, invitations and registration details. In the final week, check presentations, test microphones and projection, confirm dietary requirements, and print the guest list. On the day, inspect evacuation routes before setting up the registration and presentation areas.

Tips

  • Confirm the venue’s evacuation routes and emergency procedures before publishing invitations. Add clear directional signs and keep the routes free of tables, chairs, equipment cases and extension cords.
  • Collect dietary requirements when guests register, then confirm the final numbers before ordering snacks and drinks. Chill drinks and prepare serving equipment only after the expected attendance is known.
  • Test the projector, laptop, screen, wireless microphones, speakers and presentation clicker with the actual presentation files. Do this at least one day before the event, not when guests are arriving.
  • Prepare name badges and the printed guest list before opening the venue. Keep the registration desk supplied with badges, holders and any information boards so arrivals do not block the entrance.
  • Bring power strips, extension cords and power banks, then check cable placement during setup. Keep cables away from evacuation routes and walking areas, and test every powered device before the programme starts.

Frequently asked questions

How far in advance should I plan a safety evening?
Set the date, reserve the venue and contact speakers at least 6–8 weeks ahead. Use the following weeks for permits, invitations, registrations and programme details, leaving the final week for equipment tests and confirmations.
When should invitations go out for a safety evening?
Send invitations about 4–6 weeks before the event and open registration at the same time. Close or review registrations several days before the evening so you can confirm seating, badges, dietary requirements and refreshments.
What should I check on the day of a safety evening?
Arrive at least 2 hours before guests to inspect evacuation routes, open the venue, arrange tables and chairs, and set up the registration and presentation areas. Test the projector, microphones and speakers again after everything is connected.
How much time is needed to set up a safety evening?
Allow 2–3 hours for a setup that includes furniture, signage, registration, presentation equipment and refreshments. Add extra time if deliveries arrive on the same day or if speakers need to test demonstrations.
