- Record the date and route before opening registration. Check the full course for hazards, access points and places where participants may need clear route arrows or traffic control.
- Start permit, insurance and traffic arrangements early. Allow at least four to six weeks for applications and confirmation, especially if roads or public spaces are involved.
- Set a registration deadline several days before the challenge. Use the final participant list to check personal details, dietary requirements, start numbers and race-number packets.
- Assign volunteers to specific jobs rather than simply asking for general help. Give traffic marshals, water-station teams and first-aid contacts written instructions and a way to communicate on the day.
- Prepare the course and finish area the day before where possible. Sort route signs, check walkie-talkies and stopwatches, fill water supplies, and confirm that tents, tables and power connections are ready.
