Reuse workshop checklist

A reuse workshop needs more than donated materials and a few tables. Book the venue first, then confirm the schedule, helpers, registrations and safety arrangements before collecting supplies. In the final week, check every tool, divide materials between workstations and send participants clear arrival information. On the day, allow time for registration, a safety briefing and technique demonstrations before anyone starts making. Use this checklist to keep preparation in the right order.

Tips

  • Set the date and venue before recruiting volunteers or sending invitations. Confirm how many workstations fit comfortably, where tools can be stored, and when you can enter for setup.
  • Finish registrations several days before the workshop and ask about dietary requirements at the same time. Send the final participant information at least 2–3 days beforehand, including the start time, what to wear and any arrival instructions.
  • Check donated materials and tools separately rather than assuming they are usable. Test cordless drills, glue guns and extension leads, and remove damaged items before laying out workstations.
  • Prepare one clear sample for each main activity and place safety instructions where everyone can see them. Demonstrate safe use of drills, glue guns, saws and other tools before participants begin.
  • Set up materials by workstation instead of leaving one large pile for participants to sort through. Keep safety goggles, gloves, dust masks and the first aid kit easy to find, and set up the drinks and snack station away from working areas.

Frequently asked questions

How far in advance should I plan a reuse workshop?
Reserve the venue and date at least 4–6 weeks ahead if you need volunteers and participant registrations. Aim to finish the schedule, materials list and helper roles during the second week of planning.
How many volunteers do I need for a reuse workshop?
Plan for at least 1 supervisor or volunteer per 6–8 participants when drills, glue guns or hand saws are involved. Add a separate person for reception and registration if more than 20 people are expected.
When should I collect and check workshop materials?
Start collecting reusable materials 2–3 weeks before the workshop and complete the inventory at least 7 days beforehand. Check tools, cables and safety equipment again during the final week.
How early should I arrive to set up a reuse workshop?
Allow 2–3 hours before participants arrive to arrange tables and chairs, distribute materials, test tools, post safety instructions and prepare registration, drinks and snacks. Keep 15 minutes available for last-minute adjustments.
