Tips
- Finish registrations and dietary requirements at least one week before the workshop, then send participants the schedule, arrival time and what they need to bring. This gives you time to adjust materials and refreshments for the final headcount.
- Test the laptop, projector, screen and HDMI connection at the venue before the workshop starts. Keep the presentation on the laptop as well as on a backup drive, because a missing adapter or failed cable can delay the first exercise.
- Charge every battery and format every memory card the day before. Put spare batteries, chargers, card readers and camera straps together at one equipment station so participants do not lose time looking for them.
- Confirm photo models and print consent forms before the event day. Place the forms at the reception desk and do not begin model photography until each required form has been completed.
- Set up the room in separate zones: reception and registration, presentation seating, coffee station and photography area. Allow extra time for stands, LED lights, softboxes, reflectors and the backdrop, since these usually take longer to position than tables and chairs.
