What you need for a photo editing workshop

A photo editing workshop needs more than laptops and editing software. Each workstation should have a working mouse, charger, power access and the correct software version before participants arrive. You will also need reliable presentation equipment, spare cables and USB sticks for file backups. For refreshments, plan cups, glasses, plates and serving equipment alongside coffee, tea and chilled drinks. Use this list to shop for the session and check what can be borrowed or reserved instead.

Tips

  • Allow one laptop, mouse and charger per participant, plus at least one spare workstation for failures or late replacements. Check the software version on every machine no later than the day before.
  • Bring at least two spare HDMI cables and enough extension cords and power strips to reach every table without daisy-chaining strips. Test the projector, screen and presentation clicker before participants arrive.
  • Prepare one USB stick per participant or small working group, plus two spare sticks for backups. Copy the practice photos and verify that the files open on the workshop laptops.
  • For a half-day session, budget two to three hot drinks per person and one drinking glass per attendee. Add extra cups and glasses for the teacher, assistant and anyone who stays after the workshop.
  • Pack serving trays, small bowls, cutting boards and bread knives if food is served in the room. Put waste bins near the refreshments and workstation areas so packaging and used tableware do not collect on the tables.

Frequently asked questions

How many laptops do I need for a photo editing workshop?
Plan one laptop per participant, with one mouse and one charger for each machine. Add at least one spare laptop if the group has more than 10 people, because a single hardware or software problem should not stop the exercise.
How many USB sticks should I buy for a photo editing class?
Buy one USB stick per participant or per small working group, plus two spare sticks. Use them for practice files and backups, and test the copied files before the workshop starts.
What cables and power supplies are needed for a photo editing workshop?
Provide one power connection per laptop and keep at least two spare extension cords and HDMI cables available. Bring enough power strips for the room layout, but do not connect power strips end to end.
How much coffee and water do I need for a workshop?
For a half-day workshop, allow two to three hot drinks per person and at least 1 litre of water per person. Buy or bring extra cups and glasses for the teacher, assistant and roughly 10% more attendees than registered.
