- Set the tournament format before sending invitations. Decide how many teams you can accommodate, how long each round will last and when registration closes, so the schedule can be built from confirmed entries.
- Create the participant list as soon as registrations close, then assign teams and publish the match schedule before the event. Send the final information at least 3 days in advance, including arrival time, format and what happens if it rains.
- Mark out every court before guests arrive and number them clearly. Allow enough space for players and spectators, and keep measuring tapes, scoreboards, clipboards and markers at the match desk rather than scattered around the venue.
- Check the weather forecast 48 hours before the tournament and again on the morning itself. Put up party tents and other weather protection early enough to cover the reception, seating, buffet and drinks point—not just the playing area.
- Chill drinks and prepare the food before the first match begins, when attention shifts to registration and team announcements. Set out reusable glasses, serving utensils, waste bins, coffee and tea so the refreshment area does not become a queue beside the courts.
