Party congress checklist: what to arrange and when

A party congress combines a formal programme with the practical demands of a busy event day. You need to coordinate the venue, speakers, registrations, room layout, catering and technical setup without losing track of small details. This checklist covers the work from setting the date through opening the venue, including presentations, dietary requirements, name badges and equipment testing. Use it to assign responsibilities and set deadlines before the final week.

Tips

  • Set the programme and confirm the venue before sending invitations. Allow at least 2–3 weeks between the invitation deadline and the congress so you can process registrations, collect dietary requirements and finalise seating.
  • Ask every speaker for their presentation and technical requirements no later than 7 days before the event. Test each presentation on the actual laptop, projector and screen, and keep an HDMI cable and backup laptop available.
  • Close registration 3–5 days before the congress and print the participant list, name badges and programmes afterwards. Keep a separate list of dietary requirements at the registration or catering point.
  • Plan the room around the programme rather than placing furniture first. Check that the stage, speaker table, conference chairs, registration tables and buffet tables leave clear routes for guests and staff.
  • Open the venue at least 2 hours before the first arrival. Use the first hour for room checks and furniture setup, then reserve the remaining time for sound, microphones, presentations, coffee equipment and last-minute changes.

Frequently asked questions

How far in advance should I organise a party congress?
Start at least 8–12 weeks before the event. Reserve the venue and set the programme first, then confirm speakers, open registration and order catering after you have a realistic participant estimate.
When should I send invitations for a party congress?
Send invitations 4–6 weeks before the congress, with a clear registration deadline. Close registration 3–5 days before the event so you can prepare badges, programmes, seating and catering numbers.
How much time do I need to set up a party congress venue?
Allow at least 2 hours for setup, and more if the room needs a stage, projection, audio mixer or several seating areas. Test microphones, speakers, cables and every presentation before guests arrive.
When should I collect dietary requirements for a party congress?
Ask for dietary requirements during registration and review the list 3–5 days before the event. Send the final numbers and restrictions to the caterer when you confirm the order.
