- Open registrations early enough to collect dietary requirements before you shop. Use the final guest count to calculate batter, toppings, plates, glasses and seats rather than relying on rough estimates.
- Reserve pans, cooking plates, tables and extension leads at the same time. Check the venue’s available sockets and keep cooking equipment on separate power strips where possible.
- Set up at least two clear work zones: one for batter and cooking, and one for toppings and serving. Keep chilled products in coolers until shortly before they are needed.
- Prepare the buffet in serving order: plates first, then pancakes, toppings, cutlery and dessert plates. Portion fruit and other toppings in advance so guests do not queue at the cutting boards.
- Send a final confirmation 24–48 hours before the event with the start time, payment method and any dietary information guests provided. Put the cash register or payment terminal on a separate, clearly marked table.
