Pancake fundraiser checklist

A pancake fundraiser needs more than batter and a table. Book the venue first, then manage registrations, dietary requirements and volunteer shifts before buying ingredients or equipment. In the final week, confirm numbers, check stock and prepare allergen information. On the day, allow time for baking stations, payment setup, coffee and tea, serving areas and a clear volunteer briefing before guests arrive.

Tips

  • Reserve the venue and baking trays before opening registrations. Confirm the available power supply at the same time, especially if several pancake griddles, coffee machines or kettles will run together.
  • Close or review registrations several days before the fundraiser so you can update the visitor list, plan portions and assign enough volunteers. Collect dietary requirements during registration rather than trying to identify them at the door.
  • Prepare allergen information before creating the menu boards. Keep the information visible at the serving area and brief volunteers on which ingredients and toppings require extra care.
  • Do the main shopping after checking the final visitor list, then wash fruit and vegetables and prepare the batter in a clean, labelled area. Keep drinks chilled and set out toppings close to service time so they remain fresh.
  • Finish the room setup at least 60 minutes before doors open: arrange tables and chairs, connect equipment safely, set up the register and change, and leave time to brief volunteers on serving, payments and cleaning.

Frequently asked questions

How far in advance should I plan a pancake fundraiser?
Start booking the venue and equipment at least 4 to 6 weeks ahead. Open registrations once the date, capacity, payment options and volunteer plan are clear.
How many volunteers do I need for a pancake fundraiser?
Plan for at least 1 volunteer per active baking station, plus 1 person for payments and 1 for serving or topping refills. Add a coordinator and rotate shifts every 60 to 90 minutes for a busy session.
When should I prepare pancake batter for a fundraiser?
Mix the batter on the day, ideally 1 to 2 hours before service, unless your recipe specifically allows earlier preparation. Keep the preparation area clean and label ingredients needed for allergen information.
What should I set up first on the day of a pancake fundraiser?
Set up tables, chairs, baking stations and power connections first, then arrange crockery, cutlery, drinks and toppings. Have the register, cash box and change ready at least 30 minutes before guests arrive.
