  • Set the date, purpose and budget before promoting the fundraiser. Finalise your prices early so invitations and registration details show what people will pay and how they can pay.
  • Check the venue’s capacity, power supply and permit requirements before booking equipment. Pancake griddles, gas burners, coffee machines and kettles may need more outlets or ventilation than the room provides.
  • Ask for dietary requirements during registration, not at the door. Keep allergen information with the menu and separate ingredients, utensils and serving areas where needed.
  • Assign volunteers to specific shifts for registration, cooking, serving, payments and clearing tables. Add at least one person who can cover breaks and handle problems without leaving a station unattended.
