- Inspect the site while it is still light, preferably on the afternoon of the event. Remove loose branches and other obstacles, then mark the route between observation points with signs or rope before darkness makes changes difficult.
- Reserve the moth traps early and check every trap, UV lamp, extension cord and power strip before setup. Plan the electrical layout in advance, keep cables away from walking routes, and have spare batteries and power banks ready.
- Close registration a few days before the evening if possible, so you can process names and dietary requirements and print the visitor list before leaving for the site. Share route directions with the final confirmation rather than assuming everyone knows the meeting point.
