Night Marathon Checklist

  • Record the date and route before booking other services. Apply for permits and traffic measures early, because approvals can take longer than the venue and volunteer arrangements.
  • Plan lighting at every operational point, not only along the course. Check LED lamps, work lights, extension cords and power strips in advance, and test them after dark before the event.
  • Prepare participant materials in batches: sort bib numbers, add safety pins, print directional signs and keep medal ribbons ready for distribution. Doing this at least one day before the race avoids a registration queue.
  • Give every volunteer a clear position and a short briefing document. Confirm the team shortly before the event and use walkie-talkies for coordination between the start, finish and route points.
  • Check the forecast on race day and adjust the final setup accordingly. Chill drinks, place water barrels and cups where runners can reach them, and keep emergency contacts accessible to the responsible team members.
