  • Set the date and route before opening registration. Ride the route again close to the event, allow extra time for stops, and prepare an alternative route in case of roadworks or bad weather.
  • Close registration early enough to update the participant list, collect dietary requirements and send confirmations. A final list 3–5 days before the ride gives you time to prepare badges and wristbands.
  • Assign bicycle marshals before the event day and give them the route, emergency numbers and first aid contacts. Plan at least one marshal for every group or section that could become separated.
  • Check every bicycle and piece of equipment before departure, including the bike pump, repair kit and spare inner tubes. Keep a first aid kit, emergency blankets and charged power banks with the ride team rather than at the finish only.
  • Prepare the finish area the day before where possible: set out bicycle racks, tables, coolers and waste bins, then check catering quantities. Charge the sound system and microphone and test extension cords or power strips before guests arrive.
