A National Sports Week event needs more than balls and rackets. Plan for registration, changing activities, short breaks, wet weather and the equipment needed to keep several groups moving at once. Check what your clubs or venue already provide before buying, then shop early enough to chill drinks and prepare snacks on the day.

Tips

  • Allow at least one ball for each active court or pitch, plus two spares for busy sessions. For a mixed programme, check footballs, basketballs, volleyballs and handballs separately rather than assuming one ball works for every activity.
  • Set out one cone or marker every 5–10 metres for relay lanes, boundaries and queues. Keep extra cones and cone poles at the registration desk so volunteers can replace or move a course quickly.
  • Provide one chair per registration volunteer and enough folding chairs for participants who need to rest between sessions. Add tables for registration, snacks and equipment instead of putting everything on the ground.
  • Plan drinks and snacks for the full timetable, not only the opening hour. Chill drinks before participants arrive, label food against the collected dietary requirements and keep waste bins beside the busiest refreshment points.
  • Pack safety and timing supplies with the sports equipment: whistles, stopwatches, scoreboards, ribbons and medals. Put each activity’s kit in a separate labelled box so volunteers can set up without searching through all 70 items.

Frequently asked questions

What sports equipment do I need for National Sports Week?
For the listed programme, prepare footballs, basketballs, a volleyball, handballs, tennis and badminton gear, skipping ropes, hoops, hockey sets, relay batons, yoga mats and resistance bands. Add cones, stopwatches and whistles for organising sessions, and keep at least two spare balls available for busy activities.
How many chairs and tables should I buy for National Sports Week?
Start with one chair for every registration or activity volunteer, plus extra chairs for participants resting between sessions. Use separate tables for registration, refreshments and equipment; confirm the final quantities after registrations close, ideally 3–7 days before the event.
How much food and drink should I buy for National Sports Week?
Budget two to three drinks per person for the first hour, then one drink per person for each additional hour, adjusting for weather and activity level. Buy snacks for every registered participant and add a small reserve once final attendance is confirmed 3–7 days beforehand.
When should I buy and prepare the event supplies?
Buy non-perishable supplies and check sports equipment at least one week before National Sports Week. Collect rented or borrowed items 1–2 days beforehand, chill drinks and prepare snacks on the event day, and check the weather forecast before setting up tents.
