Tips

  • Confirm the workshop leaders and programme before sending invitations. Participants need to know the session times, route and what they will do, while you need a firm basis for registrations and printed materials.
  • Book instruments and sound equipment early, especially if you need keyboards, acoustic guitars, hand percussion, microphones and speakers. Check cables, DI boxes, stands, batteries and extension leads at least 3 days before the workshop.
  • Close registration with enough time to finalise the participant list and collect dietary requirements. Allow at least 2 days to print music and practice materials, prepare name information and adjust the room layout.
  • On the morning of the workshop, open and ventilate the rooms before setting up tables, chairs and instruments. Test microphones, speakers and the mixer with the actual instrument cables, rather than assuming everything will work.
  • Set up coffee, tea, water and reusable cups before participants arrive, and cool drinks in advance. Keep the registration table separate from the instrument area so arrivals do not interrupt the introduction or rhythm exercises.
