- Arrange film rights before downloading or collecting the film. Do this at least two to three weeks before the screening, because having the file does not automatically give you permission to show it publicly.
- Test the complete setup in the actual venue at least one day in advance. Check the laptop, HDMI cable or adapter, projector, screen, speakers, audio cable, power strips and extension cords together, not separately.
- Confirm registrations after collecting dietary requirements, then prepare an attendance and name list. Print or save one final version on the day so you know how many chairs, cups, snack portions and drinks are needed.
- Chill drinks several hours before guests arrive and portion popcorn and snacks before the film starts. Keep coffee, tea and serving items on a separate buffet so late arrivals do not disturb the screening.
