Mountain Bike Ride Checklist

Organising a mountain bike ride takes more than choosing a route and setting a start time. You need to confirm registrations, inspect the trail, plan for hazards, prepare navigation and arrange support at the start and break point. This checklist puts the work in a sensible order, from route scouting and participant information to bike checks, food, safety equipment and volunteer briefings. Use it to spot the details that are often left until the last day.

Tips

  • Scout and ride the route before sending the final participant information. Check steep sections, crossings, loose surfaces and access for emergency help, then update the route file and printed maps if needed.
  • Set a registration deadline several days before the ride. Use the final list to collect emergency contacts and dietary requirements, and print one attendance list for check-in.
  • Do not leave bike preparation until the morning of the ride. Check helmets and bikes in advance, and have pumps, multi-tools, tire levers and spare inner tubes ready at the start.
  • Plan the start and break point as separate setups. Allow time for bicycle parking, route signs, tables, water, chilled drinks, food and a clear place for first aid equipment.
  • Brief volunteers before participants arrive, not while registration is underway. Give each person a specific position, the route details, emergency contacts and a whistle or reflective vest where required.

Frequently asked questions

How far in advance should I plan a mountain bike ride?
Start planning at least 3–4 weeks before the ride. Reserve the starting location, open registrations and begin route scouting early, then use the final week for weather checks, participant information and equipment preparation.
When should I check the mountain bike route?
Scout the route at least twice: once during the planning period and again 2–3 days before the ride if conditions may have changed. Check for fallen branches, flooding, damaged surfaces, confusing junctions and new hazards.
How much water and food do I need for a mountain bike ride?
Plan a refill or break point for rides lasting more than 90 minutes. Provide at least 500–750 ml of water per rider for each riding hour, then adjust for heat, distance and the availability of water along the route.
What tools and safety equipment should I bring on a group mountain bike ride?
Bring at least one pump, multi-tool, tire levers and spare inner tubes for every 10–15 riders, plus first aid kits and emergency blankets. Add navigation devices, printed maps, whistles and reflective vests for the route team and volunteers.
