Kids' Disco planning checklist
A kids' disco needs more than a playlist and a few balloons. This checklist takes you from booking the venue and collecting registrations to testing the sound system, preparing snacks and opening the doors. Plan the practical details early: parent contact information, dietary requirements, music rights, safe cable runs and a clear dance floor. On the day, allow enough time to check the hall, arrange the registration table and set up food, drinks, lighting and decorations before children arrive.

Tips
- Set the guest deadline at least 7 days before the disco. Use the final registration list to confirm numbers, collect dietary requirements and check that every child has a parent or carer contact.
- Build in at least 90 minutes for venue setup. This gives you time to check the floor and hall, arrange tables and chairs, clear the dance floor, and put out the registration and snack tables.
- Test the full audio setup before guests arrive, not just the music player. Connect the speakers, mixer, wireless microphone, extension cords and power strips, then check charging cables and keep cables covered or routed through cable trays.
- Prepare food and drinks for the confirmed number of children, plus around 10% extra. Chill drinks in coolers before opening, and place reusable cups, plates, cutlery, small bowls and serving spoons where children can reach them safely.
- Keep the centre of the room free for dancing and place decorations around the edges. Balloon arches, bunting, disco foil and tablecloths should not block exits, while arrow signs and name stickers make registration faster.
Frequently asked questions
- How far in advance should I plan a kids' disco?
- Book the venue and confirm the date and times at least 6 weeks ahead. Send invitations around 4 weeks before the event and close registrations about 7 days before it.
- How much setup time does a kids' disco need?
- Allow 90 minutes to 2 hours before doors open. Include time for the hall and floor check, furniture, registration, snacks, decorations, lighting and a complete sound test.
- How many drinks and snacks do I need for a kids' disco?
- Plan one drink for arrival and at least one more during the event, with around 10% extra. Provide roughly 2 to 3 snack portions per child, adjusting the list for the dietary requirements you collected.
- What equipment should I test before a kids' disco?
- Test the speakers, mixer, microphone, music player and disco lights together at least 24 hours beforehand, then repeat a short check during setup. Confirm that extension cords, power strips and charging cables reach safely without crossing the dance floor.
