- Book a room with enough open floor space for movement, not just enough chairs for the group. Clear the play area before participants arrive and use painter’s tape to mark boundaries or activity zones.
- Send the participant information at least 3–5 days before the workshop. Include the arrival time, route map, what to wear, and any practical notes about movement and participation.
- Prepare the music player, portable speaker, timer, extension cords, and power strips before registration opens. Run one complete timer and music test in the room rather than assuming Bluetooth or power will work.
- Plan the break as a separate setup task. Have coffee, tea, reusable cups, snacks, plates, cutlery, serving bowls, and tongs ready before the first exercise starts, then assign someone to refill drinks.
- Count worksheets, notepads, pens, name badges, improvisation cards, and props for every registered participant plus 2–3 spare sets. Check the materials on the day before collecting the venue keys.
