  • Confirm the panelists and moderator before sending invitations. Keep the program flexible until every speaker has supplied their name, role and presentation requirements.
  • Set a registration deadline at least 3 days before the discussion. Use the final registration list to prepare name badges, plan seating and collect dietary requirements before shopping.
  • Collect audience questions before the event and ask for them no later than 24 hours beforehand. Select questions in advance, then leave room for questions that arise during the discussion.
  • Build a timed run sheet with the opening, introductions, panel questions, audience questions and closing. Give each panelist a clear speaking time and allow at least 10 minutes for transitions and technical checks.
