  • Close registration before ordering catering and printing handouts. Confirm the final participant list and dietary requirements at least 5 days before the workshop so quantities and seating can be adjusted.
  • Build the programme around the instruments and room you actually have. Allow 30 minutes before opening for tables, music stands, instruments, cables and power strips, rather than trying to set everything up during registration.
  • Test the complete audio chain, not just the microphones. Connect the mixer, speakers, microphone stands and cables, then check the laptop, projector and screen if they are part of the programme at least 45 minutes before participants arrive.
  • Prepare a separate work area for workshop materials. Put out handouts, guitar picks, tuners, metronomes and spare batteries before opening, and keep extra materials where the facilitator can reach them without interrupting the session.
