- Set the timetable around the pool booking. Allow at least 15 minutes for registration and changing, then keep the safety briefing and warm-up before the first serious set.
- Create the lane layout from the final participant list, not from registrations alone. Recheck it after attendance is confirmed so swimmers are placed in suitable groups.
- Check goggles, caps, kickboards, pull buoys, fins, paddles, stopwatches and whistles before packing. Bring spares where possible, because missing equipment can disrupt an entire lane.
- Send arrival, changing-room and dietary information at least 48 hours beforehand. Participants are more likely to arrive prepared when they know what to bring and when the session starts.
