  • Set the participant limit only after checking the room, number of workstations and available instruments. Leave enough space for chairs, music stands and instrument cases so people can move safely between sessions.
  • Create the workshop schedule around setup and changeover time, not just teaching blocks. Allow at least 30 minutes before arrival for tables, chairs, instruments, microphones and sound equipment, plus 10 minutes between activities if equipment must be moved.
  • Test the full audio chain before the workshop starts: microphones, stands, cables, DI boxes, mixer and active speakers. Keep extension cords and power strips organised, and test the laptop or HDMI connection if the programme includes demonstrations.
  • Close registration with enough time to update the participant list and collect dietary requirements. Send the programme and a reminder at least 2 days before the workshop, including the arrival time and anything participants need to bring.
  • Prepare the reception and refreshment areas separately from the instrument workstations. Set out reusable glasses, coffee cups, plates, coffee and tea before opening, and keep the registration desk clear so arrivals do not block the entrance.
