  • Set the programme before opening registrations. Include start and finish times, breaks, room changes and the expected level for each session so participants know what they are signing up for.
  • Ask about playing level and instruments on the registration form. Grouping a beginner on electric guitar with advanced players, or promising a drum session without enough equipment, creates problems that are difficult to fix on the day.
  • Test the complete technical setup at least one day beforehand. Connect the wireless microphones, speakers, mixer, instrument cables and power strips as they will be used, then check every room rather than testing only the main space.
  • Prepare printed materials in batches. Print the participant list, name badges, programme and music sheets before the event day, and sort the music by session or room so teachers are not searching through loose pages.
  • Plan arrival as a separate task. Set up a reception desk with the participant list and name badges, and have rooms, chairs, music stands and instruments ready at least 30 minutes before the published start time.
