  • Ride the complete route at least 7 days before the event and record realistic times for each section. Mark rest stops where riders can refill, warm up or get help rather than choosing them only by distance.
  • Send route information no later than 3 days before the ride, including the start time, expected duration, rest-stop locations and what riders should bring. Update the participant list after the final responses so volunteers know the correct headcount.
  • Assign volunteers to specific jobs, not general help. For example, appoint separate people for route signs, rest stops, bicycle parking, registration and first aid, and give each person a reporting time at least 60 minutes before departure.
  • Check bikes, helmets, pumps and repair kits before riders leave. Keep spare inner tubes and a first aid kit at a known point, and make sure route arrows and reflective vests are ready before setup starts.
  • Plan the finish around autumn weather: build the tents, arrange tables and chairs, hang LED lanterns and prepare coffee, tea and food before the first riders return. Chill drinks separately and keep hot items in suitable containers so serving does not depend on one busy kitchen area.
